This privacy policy explains how Fynentro Digital collects, uses and protects your personal information when you visit our website, contact us, or use our services. Fynentro Digital is a trading name of Fynentro Consultancy Ltd, based in Swansea, South Wales. We are the "data controller" for the information described here.

1. The information we collect

We only collect information we genuinely need. Depending on how you interact with us, this may include:

• Contact details you give us — your name, business name, email address, phone number, and the content of any message — when you fill in our contact form, book a call, or email us.
• Onboarding and contract information — details you provide when you become a client, including business information and your acceptance of our agreements.
• Payment information — handled securely by our payment provider, GoCardless. We do not see or store your full bank or card details.
• Website usage information — if you consent to analytics, anonymised data about how you use our site (pages visited, device type, approximate location) to help us improve it. See our Cookie Policy for details.

2. How we use it, and our legal basis

• To respond to your enquiry and provide a quote — based on your consent and our legitimate interest in replying to you.
• To provide our services and manage your account — based on our contract with you.
• To take payment — based on our contract with you.
• To meet our legal and accounting obligations — based on legal obligation.
• To improve our website — based on your consent (analytics).

We will only send you marketing if you have asked us to, and you can opt out at any time.

3. Who we share it with

We never sell your data. We use a small number of trusted providers to run our business, who process data on our behalf under contract:

• Netlify — website hosting
• Google (Workspace, Analytics, Search Console, Business Profile) — email, website analytics and listings
• Calendly — call bookings
• Tally — online forms and agreements
• GoCardless — payments

Some providers may process data outside the UK; where they do, appropriate safeguards (such as UK/EU-approved data transfer terms) are in place. We may also share information where required by law.

4. How long we keep it

We keep enquiry information for up to 12 months if you don't become a client. Client records are kept for the duration of our work together and for up to 7 years afterwards to meet legal and accounting requirements. Analytics data is retained according to our analytics settings.

5. Your rights

Under UK data protection law you have the right to: access the information we hold about you; have it corrected or deleted; restrict or object to how we use it; and request a copy in a portable format. To exercise any of these, just email hello@fynentrodigital.co.uk and we'll help.

6. Complaints

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
